SP Specialist Inclusion Services Pty Ltd (ABN 80 619 788 359) (“SPSIS”, “we”, “us”) provides specialist inclusion training and support services. Our website is https://specialistinclusion.com.au.

We are committed to protecting your personal information and handling it in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what information we collect through this website and our services, why we collect it, how we protect it, and the choices you have.

What personal information we collect

Accounts and workshop registrations

When you register for a workshop or create a training account, we collect the details you provide in the registration form — typically your name, email address, and where relevant your school, employer or organisation. This information is used to create your training portal account and administer your enrolment.

Training records

As you complete courses through our training portal, we keep records of your enrolments, course progress, completions and any certificates issued.

Payments

Workshop payments are processed by Stripe, our payment provider. Your card details are entered directly with Stripe and are never stored on our website or systems. We keep a record of the transaction (such as the amount, date and what it was for) but not your card number. You can read Stripe’s privacy policy at https://stripe.com/au/privacy.

Communications

If you contact us by email, phone or through a form on this website, we keep a record of that correspondence so we can respond and maintain a history of our dealings with you.

Website analytics and cookies

We use Google Analytics to understand how visitors use our website (for example, which pages are most visited). IP addresses are anonymised, and this data is not used to identify individual visitors. The website also uses cookies — small files that support functions such as staying logged in to the training portal. You can review and change your cookie preferences at any time via the consent banner, and full details are in our Cookie Policy.

Why we collect and use your information

We collect and use personal information to: deliver our workshops, training and support services; create and manage training portal accounts; process registrations and payments; issue certificates and confirm completion; respond to enquiries; meet our contractual, legal and regulatory obligations; and improve our website and services. We do not sell personal information, and we do not use it for third-party advertising.

Who we share your information with

SPSIS may share limited participant information with authorised third parties where this is necessary for service delivery, reporting, coordination of supports, or to meet contractual, legal or regulatory requirements. This may include, for example, confirming attendance or completion of a program to a school, employer or other organisation that has funded or arranged the service.

Only the minimum information necessary for the relevant purpose is disclosed. More detailed information about a participant’s progress, support needs, disability or personal circumstances is not provided to a third party solely because they are paying for the service. Such information is only shared where the participant — or their authorised representative, where applicable — has provided consent, or where disclosure is otherwise permitted or required by law. SPSIS may also share relevant information with other providers or stakeholders involved in a participant’s supports where consent or another lawful basis for disclosure applies.

We also use a small number of trusted service providers to operate this website and our services: our website hosting and content delivery providers, Stripe (payment processing), Google (email, workspace tools and analytics), and Postmark (delivery of transactional emails such as account and registration confirmations). These providers only process information as needed to provide their service to us.

Overseas disclosure

Some of the service providers listed above (including Stripe, Google, Postmark and our hosting providers) store or process data on servers located outside Australia, including in the United States. Where this occurs, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

How we protect your information

We take the security of participant information seriously. Measures in place include: encrypted connections (HTTPS) across the entire website; reputable managed hosting with a web application firewall and security monitoring; multi-factor authentication required for administrative access; regular software updates; and payment processing handled entirely by Stripe so card details never touch our systems.

Data breaches

If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme under the Privacy Act.

How long we keep your information

We retain participant accounts and training records until deletion is requested, so that past participants can return to their training and re-access their records and certificates. Some records (such as financial and transaction records) must be kept for the periods required by law even after an account is deleted.

Accessing, correcting or deleting your information

You can view and update most of your account details at any time by logging in to your training portal account. You may also request access to, correction of, or deletion of the personal information we hold about you by contacting:
